FreePost Step by Step Guide

From 1 July 2008 compliance with new FreePost approved envelope layout standards will be mandatory in order to continue to receive the FreePost approved price. The information below contains references to these new FreePost approved envelope layout standards.

1. Qualifying for FreePost

You must have a New Zealand Post PO Box or Private Bag for the FreePost responses to be addressed to (FreePost responses cannot be sent to a street address). Find out how to get a PO Box or Private Bag.

2. Applying for a FreePost authority number or word

If you don't have a FreePost authority number or word already, you need to apply for one to be issued to you. You can submit the FreePost application form along with your request to have your FreePost response layout approved.

  • To apply for a FreePost authority number or word, download the FreePost Application Form (.pdf - 165kb) or call our Customer Service Centre on 0800 501 501.
  • Complete the application form and post it to us using the FreePost address on the application form or send to us as below (remember that you can send your layout design for approval at the same time):

3. Applying for FreePost Layout Approval

You can create your own layout designs for your FreePost response envelopes. You have the option of either an approved format, which may make you eligible for a postage discount or a non-approved format.

Approved FreePost format

  • It is important to have your design checked by our Customer Service Centre to ensure it meets the specifications for an approved FreePost format. 
  • Use our guidelines below to layout your approved FreePost format envelope:
  • Add your addressing details or logos to the layout while still keeping within the layout specifications.
  • Once you have finished customising your layout, you'll need to get it approved. We strongly recommend that you submit your layout design so it can be checked and approved prior to arranging printing. Send your design to the Customer Service Centre at New Zealand Post:
  • We will contact you if we have any queries or need to suggest a change to your design.
  • We will notify you when your design has been approved.
  • When your FreePost layout design is approved, you can arrange for printing of your FreePost envelopes.

Non-approved FreePost format

FreePost responses can be hand-written, however this means that you will not be eligible for any postage discounts. A non-approved FreePost response layout looks like this:
